The nation's largest municipally owned company providing both natural gas and electric utility company, now offers commercial customers an easy and secure way to receive and pay utility bills through our PUSH eMail Billing Solution. Business customers now receive a consolidated eBill package directly into their email inboxes with an 'in-email' instant, secure electronic payment facility, all without the need to link or login to a single web page.

The Challenges

The commercial customers invoicing and payment needs were not easily met by the company's web service. It began searching for a viable commercial solution to suit their requirements and found our Secure eMail Presentment and Payment to be an ideal fit.

Commercial customers require an easy to use, highly secure electronic billing and payment system that allows for simple management of bills, reduced data capturing, paper elimination and fast electronic payment.

The utility also required improved internal efficiencies through daily tracking of bills being sent, reporting on payments made and the ability to send multiple utility bills to a customer in a single email.

Our comprehensive eMail bill presentment solution allows customers with a means to receive multiple encrypted invoices in a single email and the option to make instant, secure electronic check payments.

The Solution

Our Secure eMail Bill Presentment and Payment Solution dramatically simplifies electronic billing as there is no website to visit, no registration required and no choosing and remembering usernames and passwords.

The bill, a PDF email attachment, is encrypted and the recipient only needs to enter the last four digits of their social security number or company tax ID to decrypt it. Security of the email is fundamentally two-factor authentication, as recipients need access to the recipient email inbox as well as knowing the required decryption code.

It takes only one click to open the eBills and one click to pay them. Each encrypted email has a digital signature to authenticate that the email originated from the approved company sending domain, and that it was not altered or tampered with in transit.

For easy management and administration, each email containing multiple bills include a summary page listing all the accounts with their amounts due. A data file of all bill detail is imbedded in the PDF for quick and easy upload into the recipient's accounting package, saving the recipient company extensive data capturing man-hours.

The Results

The only thing that the Utility business customers have to do to receive eBills is provide a valid email address. There are no more paper bills to file and the secure PDF attachments can be saved anywhere on a PC and viewed without being online. A one-click print function is built in, should hardcopies be required. Additionally, customers can make secure instant payments utilizing the BillPay button.

BillPay is a no-registration required, one-click electronic check payment facility embedded in the secure attachment. After reviewing the bill, customers simply enter their payment information and click on the 'Pay My Bill" button. A pop-up confirms that payment is being submitted and informs the user that an email will be sent to them depicting payment success or failure. Payment information need only be entered once.

The Utility receives payments directly into its accounts and is sent an automated daily 'Accounts Receivable' batch file to track payments. The Payment Activity Reporting section of the system allows the company to view and review any payment activities within the system at any given time, enabling a complete view of any payment status. This secure payment consol can also be used to take adhoc telephone payments should it be required.

The eBilling and payment solution affords the Utility the ability to include important messages or marketing material within the PDF, enhancing interaction and communication with customers.
